Overview of Role

The position reports directly to Head of Shipping Operations, and is located in our Singapore office. He/she will work closely with the Chartering department and Cargo Operations to provide day-to-day operational support for shipping operation of Dirty Petroleum Products and Clean Petroleum Products for our time-chartered fleet.

 

Main Responsibilities

Manage administration of commercial operations:

  • Liaising with corporate team and counterpart on Know-Your-Client matters.
  • Input details in CMS to ensure invoices can be processed effectively.
  • Follow up with counterparty and ensure that Freight is received in timely manner.
  • Liaise with accounts and counterparties to process receivables / payables invoices.
  • Liaise with accounts for internal invoices between Gunvor and Clearlake.
  • Update bunker nomination spreadsheet for monitoring fee payment to them.
  • Liaise with Port Disbursement-Desk on agency codes and ensure that Port Disbursement are linked to the Gunvor Operational System (IMOS).
  • Ensure that ops have entered all information promptly into Operational Systems (IMOS) in timely fashion and that adequate records are kept in G Docs to meet the company’s legal and fiscal obligations.
  • Liaise with claims department to ensure that necessary documents for interim port calculations and other claims (speed up / slow steam / waiting time / heating costs / purging costs / charterer’s expenses etc.) are given to claims department.
  • Any other ad-hoc tasks as assigned by supervisor

 

Candidate Profile

  • Min Diploma in Maritime or relevant qualification (entry level candidates welcome to apply)
  • Strong proficiency in MS word
  • Self-motivated and able to work independently and a team player
  • Good verbal and written communication skills
  • Meticulous, proactive, analytical and resilient
  • Ability to work under pressure
